We’re looking for a HubSpot Systems & Revenue Operations Specialist to own NeuroNav’s HubSpot ecosystem end-to-end. This is a part-time, embedded, hands-on role for someone who finds genuine satisfaction in troubleshooting problems, optimizing workflows, and ensuring data integrity across Sales, Client Services, Support, and Finance.
This is not a consulting or advisory engagement. You will be part of our team — in our Slack, at our stand-ups, embedded in our daily operations. You’ll work 25–30 hours per week in a steady state, with heavier weeks during targeted build projects. The work is real, ongoing, and essential.

You will inherit a well-designed systems foundation built by leadership. Your role is to strengthen, optimize, and scale it — while leading targeted enhancements that improve automation, invoicing, time tracking, and reporting clarity.

Own and administer the full HubSpot instance across Sales, Client Services, and Support
Build, maintain, troubleshoot, and optimize workflows, automations, lifecycle stages, and pipelines
Manage integrations (Fathom, SMS, time tracking tools, QuickBooks, and others)
Maintain Commerce Hub order forms and invoicing workflows
Proactively identify and resolve system bugs, logic errors, and data inconsistencies
Maintain customer lifecycle documentation and system diagrams
You live in the system. When something breaks, you’re the one who finds it, diagnoses it, and fixes it.
Lead execution of two already-scoped architecture enhancements focused on time tracking and invoicing improvements
Implement, test, document, and ensure adoption of enhancements
Expect heavier hours during build project sprints.
Partner with Finance to reconcile new sales and upsell data between HubSpot and QuickBooks
Ensure invoicing, order forms, and subscription data are accurate and audit-ready
Validate reporting accuracy across dashboards
Identify discrepancies and resolve them quickly
Revenue accuracy is a non-negotiable KPI for this role.
Build and maintain dashboards that give leadership clear visibility into revenue, lifecycle performance, and support operations
Track key metrics across Sales, Client Services, and Support
Ensure data integrity across all systems
Train team members on HubSpot workflows, tools, and data discipline
Onboard new hires into system processes
Patiently support team members from social work backgrounds in mastering technical tools
Maintain process documentation and guides
4–6+ years experience in HubSpot administration, revenue operations, or CRM systems roles
3+ years of hands-on HubSpot workflow building, automation, and troubleshooting
Experience with HubSpot Commerce Hub and invoicing workflows preferred
Experience managing integrations (QuickBooks, APIs, Zapier, SMS tools, etc.)
Comfort reconciling CRM data with finance systems
Exceptional attention to detail and a bias toward clean, scalable data architecture
Genuine curiosity and energy for diagnosing problems inside complex systems
Clear communicator and patient trainer for non-technical team members
Comfort working independently in a fast-paced, remote environment
HubSpot workflows run reliably with minimal errors
Revenue numbers reconcile consistently with Finance
System bugs are caught and resolved proactively
Dashboards are accurate and trusted by leadership
Teams feel supported by systems, not constrained by them
Targeted build projects are delivered on time and adopted successfully
