We are looking for a CRM Administrator to own the day-to-day administration, configuration, and continuous improvement of the company’s CRM (deal pipeline + real estate workflows). You will join during the early stages of an Odoo implementation and partner closely with an external implementation team to define, test, and roll out workflows. Even after implementation and go-live, you will continue owning and improving the CRM. This role is expected to be Odoo-based, but we’re open to strong CRM administrators from other platforms who can ramp quickly.
This is a full-time permanent role based in the Athens office.
Key Responsibilities
Administer and configure the CRM: users/roles, permissions, entities/fields, pipelines/stages, automations, integrations, and templates.
Support real-estate workflows: map business processes (lead → opportunity → asset → transaction) into clean CRM behavior with clear definitions.
Maintain data quality and governance: validation rules, deduplication, imports/exports, data dictionary, and ongoing hygiene.
Reporting & insights: dashboards and KPIs for deal funnel, inventory/asset pipeline, broker/partner performance, and operational throughput.
Enablement & support: onboarding, training, SOPs, first-line support, triage, and escalation to vendors.
Release/change management: collect requirements, prioritize, test, document, and deploy improvements with minimal disruption.
Security & compliance support: access reviews, audit trails, and alignment with AML/KYC-related process needs where applicable.
Requirements
3+ years administering a CRM in a fast-moving ops environment.
Preferred: hands-on experience with the Odoo Platform
Strong alternative: advanced admin experience in another CRM (HubSpot, Salesforce, Dynamics, etc.) and the ability to learn Odoo quickly.
Experience configuring workflows/automations, lifecycle stages/pipelines, and end-user reporting.
Strong data mindset: schema design, data hygiene, and comfort with CSVs and integrations.
Excellent stakeholder management; ability to turn ambiguous requirements into clear system configuration.
Experience managing a CRM improvement roadmap and coordinating with vendors/implementation partners.
Fluent Greek and English is a must.
Nice to have
Experience in real estate operations, marketplaces, or other asset-heavy businesses.
Familiarity with APIs/iPaaS tools (Zapier/Make/Workato) and basic SQL.
Experience delivering CRM implementations or major reconfigurations (requirements → build → UAT → rollout).
Experience with data migrations, deduplication strategies, and ETL/import tooling.
Familiarity with Odoo modules beyond CRM (e.g., Sales, Accounting, Inventory) and how they integrate.
Comfort building leadership-ready reporting (BI tools, SQL, and/or spreadsheet modeling).
Strong documentation habits (SOPs, training materials, release notes).
Success in the first 90 days
Establish a clear CRM blueprint: confirm key objects/fields, pipeline stages, roles/permissions, and data definitions with stakeholders + the implementation partner.
Lead implementation execution support: coordinate UAT, validate automations/integrations, and drive issue triage through to a stable pilot (or go-live, depending on timeline), with a clear handover plan into steady-state ownership.
Deliver the foundations for scale: initial data migration plan + hygiene rules, a short CRM operating playbook (SOPs + support intake), and 2–3 core dashboards for leadership visibility.
