Part-Time Sales Operations Coordinator

APAC Ad Business helps key chinese and other asian companies to succeed in Japan and US via Smartnews marketing solutions. Global marketing is becoming more challenging due to fast-changing consumer expectations, diversity in individual market landscapes, and the rate of technological change. Our team aims to grow the SmartNews ads business sales by driving the acquisition of cross-border advertisers and agencies, while also improving awareness and media priorities in targeting industries.

Mission:

The mission of the Sales Operation Coordinator is to serve as a critical support pillar for the team and organization by ensuring seamless execution of internal operations, accurate tracking of performance metrics, and effective client account management. This role plays a vital part in enabling the team to achieve its goals by:

• Enhance efficiency and accuracy in tracking sales performance, forecasting, and reporting, contributing to informed decision-making and optimal resource allocation.

• Deliver exceptional support to advertisers through data preparation, performance analysis.

• Proactively take on ad hoc tasks and provide solutions that enhance overall team performance, aligning with the organization’s broader goals of operational excellence and client satisfaction

Responsibilities:

• Provide support to the APAC team by tracking and updating sales performance, managing forecasting, and handling data-related tasks, while contributing to the development and enhancement of overall operational efficiency.

• Work closely with the Account Executive team on account opening, campaign reporting, payment &invoicing, and facilitating internal processes to ensure seamless operations.

• Support key clients on data preparation, performance analysis, reporting, and related tasks.

• Provide other ad hoc support as needed, including but not limited to translation, reporting, and other cross-functional tasks.

Working Conditions:

• Working 4–5 days a week, 5–6 hours a day.

• Working between 2:00 PM and 7:00 PM is preferred, but start and end times are flexible.

• Schedules such as 4 days at 6 hours/day or 5 days at 5 hours/day are also open for discussion.

Work Location:

• Home or SmartNews Tokyo Office

• Remote work is generally permitted, but you may be required to work from the Tokyo office as needed.

• First Day of Work: Onboarding is scheduled to start at 10:00 AM at the Tokyo office.

Contract Term

• Initial Contract: 3 months

• Contract Renewal: Yes (subject to business needs, individual performance, and company condition)

• Maximum Renewal Limit: Yes (up to a maximum cumulative period of 4 years)

First Day of Work

• Your first day will start at 10:00 AM.

• Please note that you will be required to come to the Tokyo office on your first day for onboarding.

Sales Operation Coordinator（セールスオペレーションコーディネーター）のミッション

社内オペレーションの円滑な実行、業績指標の正確なトラッキング、そして効果的なクライアントアカウント管理を通じて、チームおよび組織を支える重要な柱となることです。具体的には以下の取り組みを通じて、チームの目標達成に貢献します。

• 売上パフォーマンスの追跡、予測、レポート作成の効率性と正確性を高め、根拠のある意思決定と最適なリソース配分に貢献する

• データ準備やパフォーマンス分析を通じ、広告主へ優れたサポートを提供する

• 業務効率化（オペレーショナル・エクセレンス）と顧客満足度向上という組織目標に合わせ、単発・都度発生するタスク（アドホックタスク）に主体的に取り組み、チーム全体のパフォーマンスを高める解決策を提供する

主な業務内容（Responsibilities）

• APACチームのサポートとして、売上パフォーマンスの追跡・更新、予測管理、データ関連タスクを担当し、全体的な業務効率の改善・向上に貢献する

• アカウントエグゼクティブ（営業チーム）と密に連携し、アカウント開設、キャンペーンレポート作成、請求・支払業務、およびスムーズな運用のための社内プロセスの調整を行う

• 主要クライアントに対し、データ準備、パフォーマンス分析、レポーティングなどのサポートを提供する

• 翻訳、各種レポート作成、その他部門横断的なタスクなど、必要に応じて柔軟なサポートを提供する

勤務時間

• 週4日～5日、1日5時間～6時間

• 14時00分～19時00分の時間帯に勤務できる方が望ましいですが、開始時間や終了時間の調整可能です。

• 週4日×1日6時間、週5日×1日5時間の働き方も相談可能です。

勤務場所

• 勤務地：ご自宅もしくはスマートニュース東京オフィス

• 基本的にリモート勤務可能ですが、必要に応じて東京オフィスにご出社いただく可能性がございます。

• 勤務初日について：勤務初日は東京オフィスにて10時からオンボーディングを予定しております。

契約期間について

• 初回契約：3ヶ月

• 更新の有無：あり（業務状況、勤務成績、会社の経営状況により判断)

• 更新の上限：あり（通算契約期間は4年を上限とする)

• 面接1回 (オンラインで60分を予定)

Requirements

Required Experience:

• Ability to communicate in Chinese fluently. (nice to have: can read Japanese and English)

• Experience in an internal support role on the sales team.

• Exceptional analytical, problem-solving, and spreadsheet skills (MS Excel or Google Sheets)

• Ability to rapidly run ad hoc reports and organize output effectively in spreadsheets and presentations

• You need to have a valid VISA. The company will not sponsor visas for a Part Time role.

Nice to have:

• Detail-oriented person who has a high sense of urgency and good organizational/ project managing skills

• Ability to multitask, think creatively, and learn quickly in a fast-paced environment

• General ad tech know-how, mobile apps, and/ or digital /mobile marketing
