Work Intake and Deal Coordination
Manage intake of qualified and early-stage opportunities
Confirm GDS requirements and expectations with requesting teams
Represent GDS in deal qualification discussions when required
Classify and track deals in the central tracker
Escalate gaps in deal qualification
Act as gatekeeper for incoming presales work, ensuring requests are properly qualified and information is complete
Challenge incomplete requests and clarify expectations before engaging Solution Architects
Pipeline, Tracker Ownership and Reporting
Maintain the Deal Tracker and Presales Planner
Track deal status, ownership, blockers, and artefact readiness
Maintain visibility of SA workload and deal flow
Produce weekly capacity snapshots highlighting workload, risks, and resourcing gaps
Support backlog reviews and pipeline hygiene
Summarise operational risks when relevant
Coordination and Governance
Maintain and update the Loopio collateral tracker and response plan
Identify content gaps and coordinate updates
Complete Loopio responses where appropriate
Monitor upcoming Solution Validation Reviews (SVR)
Confirm GDS attendance
Identify preparation requirements
Flag missing artefacts
Coordinate Strategic Solutions team meetings when required
Schedule meetings
Draft agendas
Capture actions and track follow-ups
Team Support
Track follow-ups from Simon’s 1:1 meetings with Solution Architects
Maintain and update the Book of Business (BoB)
Support coordination across the SA team on active opportunities
Assist with workload planning and coverage
Operational Administration
Perform weekly hygiene checks across SharePoint repositories
Maintain folder structure, naming conventions, and version control
Archive outdated material
Perform Salesforce hygiene checks
Ensure GDS offerings are correctly tagged
Validate SA ownership
Identify stage or naming inconsistencies
Maintain clean and structured repositories for presales artefacts

Highly organised, structured, and reliable
Able to manage multiple workstreams and follow up consistently
Strong prioritisation and organisational discipline
Comfortable escalating when progress stalls
Tools and Systems
Strong Excel or Smartsheet capability (filters, formulas, conditional formatting)
Confident using SharePoint, Teams, PowerPoint, and Planner
Comfortable using Power BI and Salesforce for reporting and data validation
Familiarity with Loopio or similar RFP response platforms desirable
Communication and Interpersonal
Comfortable engaging with people at all levels of the organisation
Polite but firm when requesting information or chasing actions
Able to manage expectations clearly and diplomatically
Strong verbal and written communication
Able to summarise complex information clearly
